SMIELS is a cloud based invoicing and sales management software that allows you to create and export unlimited free sales invoices, sales estimates, purchase invoices, purchase orders, inventory, reports and much more.

It also allows you to add and manage your team members so you can improve your business sales coordination and collaboration between team members.

Chart of Accounts

Sales and purchase of products and services within thecompany is handled with chart of accounts. SMIELS allows you to handle these amountsseparate from invoices. Your team member can be assigned the task to handlechart of accounts along with other permissions discussed below.

A Chart of Account includes but is not limited to:

  •    Water, electricity, gas bills
  •    Bank transfer charges
  •    Govt taxes
  •    Owned assets
  •    Office Coffee, Tea, Snacks costs
  •    Pensions if applicable
  •    License fees
  •    Laundry costs
  •    Postage charges
  •    Staff training
  •    Insurances

Custom Permissions

SMIELS provides powerful permission management options with each team member, visit your team member profile and select manage permissions. In order to manage permission, you must be the owner or have access to edit team member’s permissions.

You can also set your team member role from predefined options discussed below and further customize the boundaries with permission management option.

Default roles

These are predefined roles available with SMIELS, you can also view the default permissions allocated with each role.

Accountant

When you choose Accountant as the role of the team member, following permissions are available to the team member. You can click manage permissions to customize how you like.

The accountant is able to view and manage chart of accounts,Client Read,Create,Update,Delete.

Accountant permission2
Accountant is able to Create,Read,Update,Delete products from inventory list. And same operations also possible for purchase estimates and purchase invoices.

Accountant is able to Create,Read,Update,Delete Sales estimates and sales invoices.

Accountant is also able to manage suppliers with Create,Read,Update,Delete operations.

Admin

When you choose Admin as the role of the team member,following permissions are available to the team member. You can click manage permissions to customize how you like.

Admin permission1
Admin is able to view and manage chart of accounts, Approve and assign Clients Read,Create,Update,Delete.

Admin permission2
Admin is able to Create,Read,Update,Delete products from inventory list, Approve, Assign and Dispatch products. And same operations alsopossible for purchase estimates.
Admin permission3
Admin is able to Create,Read,Update,Delete products from inventory list, Approve purchases, Assign and Acquire products. And same operations also possible for purchase invoices.
Admin permission4
Admin is able to Approve, Assign, Create, Read,Update,Delete Sales estimates and sales invoices.
Admin permission5
Admin is also able to Approve, Assign and manage suppliers with Create,Read,Update,Delete operations. And Manage Team members with create,update, read and delete.

Inventory clerk

When you choose Inventory Clerk as the role of the team member, following permissions are available to the team member. You can click manage permissions to customize how you like.

The Clerk is able to view clients details.
Inventory Clerk permission1
The clerk can assign products, Dispatch, and manage own products. Can also Create, Read, Update and Delete own products.

The clerk is able to view acquired stock.

The clerk can view product Dispatch.
Inventory Clerk permission5
The clerk is able to view supplier details.

Inventory manager

When you choose Inventory Manager as the role of the team member, following permissions are available to the team member. You can click manage permissions to customize how you like.

The Inventory manager can Approve clients and Assign clients. And also perform Create,  Read,Update, Delete operations on clients.
Inventory Manager permission2
The inventory manager is also able to Create, Read,Update,  Delete products and assign products and Dispatch and Acquire Stock.
Inventory Manager permission3
The Inventory manager can Approve purchases, assign usersfor purchase invoice and also create, read, update and delete purchase invoices.
Inventory Manager permission4
The inventory manager can Approve sales, assign users for sales invoice and also create, read, update and delete sales invoices.
Inventory Manager permission5
The Inventory manager is also able to manage suppliers and approve and assign them, also, Create, Read, Update and, Delete. Same operations also possible for team management.

Sales manager

When you choose Sales Manager as the role of the team member, following permissions are available to the team member. You can click manage permissions to customize how you like.

Sales manager is able to assign clients to users and Create,Update, Read and Delete clients.
Sales Manager permission2
Sales manager is able to assign products to users and also Create, Update, Read and Delete products. And same operations for Purchase estimate.
Sales Manager permission3
Sales manager is able to view acquire stock and also able to create, update, read and delete purchase invoices.
Sales Manager permission4
Sales manager is able to assign Sales to users and also Create, Update, Read and Delete Sales invoices. And also dispatch, read and update and delete.
Sales Manager permission5
Sales manager can assign suppliers to users and also create, read, update, delete supplier’s info.

Sales Person

When you choose Sales Manager as the role of the team member, following permissions are available to the team member. You can click manage permissions to customize how you like.

Sales Person permission1
Sales person is able to manage own clients with create,update, read and delete options.
Sales Person permission2
Sales person can manage inventory products and purchase estimates to which he is assigned.
Sales Person permission3
Sales person can view and manage purchase invoices to which heis assigned. And also view reports.
Sales Person permission4
Sales person is able to manage sales estimates and sales invoices to which he is assigned.
Sales Person permission5
Sales person can manage suppliers to which he is assigned.

How to add team member and manage permissions

In order to add a team member, go to your SMIELS Dashboard and

1.      Select Team drop down

2.      Select Add new team member

3.      Enter details

4.      Set role (discussed below)

5.      Manage permissions (discussedbelow)

6.      Upload any documents (optional)

7.      Press save button

An email with activation link will sent to your team member,upon successful activation, your team member will be able to login and manageyour business process according to role and permissions. In order to login, your team member will have to visit your SMIELS business URL (name.smiels.com).

Note: If your team member did not receive activation link, you can press the resend activation link button in the team member’s profile page.
